FastTender ("FastTender", "we", "us") operates the FastTender website and platform and is the data controller for the personal data described in this policy.

Account and contact details you give us: your name, work email, and the company information you add to build your profile.

Company profile data you choose to enter — capabilities, sectors, certifications, registration details and similar — which we use to match you to tenders.

Usage data about how you interact with the platform (pages viewed, searches, features used) and basic technical data such as your IP address, browser and device type.

We don't ask for, or knowingly collect, special-category data (such as health or political data). Please don't put it into free-text fields.

To provide the service — running your account, matching tenders to your profile, and showing your bid pipeline. The legal basis is performance of our contract with you.

To improve and secure FastTender, prevent abuse, and understand how the product is used. The legal basis is our legitimate interests in running a reliable service.

To contact you about your account, service changes and — where you've agreed — relevant opportunities or product updates. You can opt out of marketing messages at any time. The basis is legitimate interests or your consent, depending on the message.

To meet legal, accounting and tax obligations.

The public tender notices shown on FastTender come from official UK and EU procurement sources and are not your personal data.

We don't process card payments ourselves and we never see or store your full card details. Payments are taken by Paddle.com Market Limited, our reseller and merchant of record. Paddle handles checkout, billing, invoicing and tax, and acts as an independent data controller for the payment information you give it.

Paddle shares limited information back with us — for example your name, billing country, the plan you bought and your subscription status — so we can give you access and support. Paddle's own privacy notice covers how it handles your payment data.

We use a small number of trusted providers to run FastTender, each under a data-processing agreement and only for the purposes above:

Paddle — payments, billing and tax (merchant of record). Clerk — sign-in and account authentication. Our cloud hosting and database providers — running the platform and storing your data. An AI provider — generating tender scores and summaries from your profile and the (public) tender text. An email provider — sending account and notification emails.

We do not sell your personal data, and we don't share it for third-party advertising.

Some of our providers process data outside the UK. Where that happens, we rely on appropriate safeguards — such as UK adequacy regulations or the International Data Transfer Agreement / Standard Contractual Clauses — so your data keeps an equivalent level of protection.

We use cookies and similar technologies that are necessary to run the site and keep you signed in, plus a limited amount of analytics to understand usage. You can control non-essential cookies through your browser settings. Our checkout provider, Paddle, also sets cookies needed to process your payment.

We keep your personal data for as long as you have an account, and for a reasonable period afterwards to meet legal, tax and accounting requirements or to resolve disputes. When it's no longer needed, we delete or anonymise it. You can ask us to delete your account at any time.

Under UK data protection law you can ask to access, correct, delete or port your personal data, and you can object to or restrict certain uses. Where we rely on consent, you can withdraw it at any time.

To exercise any of these, email support@fasttender.uk and we'll respond within the legal time limits. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this policy as the service or the law changes. We'll post the new version here with an updated date and, for material changes, let you know directly.
